Business Unit Administrator
Job Title: Business Unit Admin
Reporting To: Finance Business Partner
Role Overview: You will play a key role in supporting the day-to-day operations and financial administration within the Business Unit. Duties are dynamic and will vary or adapt based on the specific operational requirements of the Business Unit.
Key Responsibilities
Financial & Procurement
Raising purchase orders (POs) and processing goods receipt invoices.
Reviewing, updating, and coordinating the Business Unit’s Vodafone account and its associated monthly billing.
Sourcing and procuring ad-hoc materials, office consumables, and miscellaneous items required for daily operations.
Fleet & Logistics
Managing Fleet, Fuel Card, and Toll Tag while maintaining and updating the Drivalia account, Continuum platform, and the National Fleet database.
Overseeing all incoming and outgoing mail, handling courier bookings, and tracking urgent shipments.
Receiving all incoming deliveries and proactively contacting recipients.
Facilities & Office Services
Coordinating external contractors for essential office services, including utilities, cleaning, waste disposal, pest control etc.
Taking ownership of the general upkeep of the office environment, ensuring meeting rooms and communal spaces are kept functional and organised.
Acting as the primary onsite point of contact for anyone entering the building, managing visitor arrivals, and coordinating visitor entry
Travel & Event Planning
Coordinating travel arrangements, including booking flights, accommodation, car hire, and venues.
Organising meeting rooms, catering, calendars, and setup for general internal and external meetings and events.
Staff Onboarding & Off Boarding
Managing the onboarding check list, liaising with internal departments and candidates to ensure everything required for their role is fully prepared for day one.
Liaising with departing employees to retrieve company equipment and update relevant databases.
Business Unit Support
Acting as the primary liaison for internal staff queries and external suppliers.
Providing flexible administrative support to ensure the smooth day-to-day running of the business unit.
Undertaking any other duties as reasonably requested by the Finance Business Partner to meet changing operational demands.
